Description of Job
The Office Manager will support National Civic League operations by maintaining office systems, conducting bookkeeping to manage expenses and revenue needs, producing regular financial reports, planning and supporting activities of the League’s board of directors, managing databases and technology systems and supporting activities regarding membership solicitation and dues collection. The job allows for primarily remote work.

Specific responsibilities include:

  • Organizing office operations and procedures, handling outside requests, designing filing systems, and reviewing and approving supply requisitions.
  • Arranging meeting logistics, arranging travel, and similar tasks.
  • Supporting membership activities, including solicitation letters, dues collection and tracking, and payment processing.
  • Defining procedures for retention, protection, retrieval, transfer, and disposal of records.
  • Supporting the organization’s auditing firm to ensure an accurate and timely annual audit.
  • Planning and implementing office systems, layouts, and equipment procurement and maintenance, including technology systems.
  • Designing and implementing office policies by establishing standards and procedures, measuring results against standards, making necessary adjustments.
  • Keeping management informed by reviewing and analyzing special reports, summarizing information, identifying trends.
  • Attending educational workshops, reviewing professional publications, establishing personal networks, participating in professional societies.
  • Use Quickbooks to input transactions, process invoices and reimbursements, monitor the annual budget, schedule expenditures, analyze variances, initiate corrective actions and provide necessary reports to the NCL Board and Finance Committee.
  • Submitting invoices for grants and contracts obtained by the League.
  • Managing cash flow and investments to ensure sufficient operating funds and maximize investment returns.
  • Managing communications with the NCL Board of Directors, including arranging logistics for meetings for the board and its committees.
  • Personnel functions, including on-boarding new staff, supervising working hours and needs of interns, maintaining records, creating and maintaining benefits programs and managing payroll.
  • Contributing to team effort by accomplishing related results as needed.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
This is a non-exempt, at-will, position with full benefits, including twelve paid holidays days and 20 paid-time-off (PTO) days during the first two years, fully-covered health insurance, dental insurance, life insurance, and disability insurance (for the employee only), a 403(b) savings plan with a percent match in employer contributions, and partial reimbursements for internet and cellphone.

Pay Range: $58,000-$68,000

Office Manager Skills and Qualifications
Supply management, tracking budget expenses and revenues through Quickbooks, managing processes, developing standards, promoting process improvement, inventory control, reporting skills, writing skills, high proficiency in computer programs.

At least two years of responsible professional experience in a nonprofit or government agency doing similar work and included office management, bookkeeping and administrative duties.

Preferred Qualifications

The following supplemental experience, competencies and abilities are highly desirable for this position and will be considered in selecting the successful candidate:

  • Associates or Bachelor’s degree from an accredited college or university in English, Public Administration, Nonprofit Management, Political Science, Public Policy, Communications, Sociology, or a field of study related to the work assignment.
  • Proven expertise in nonprofit office management and communications
  • Outstanding skills and abilities in verbal and written communications.
  • Ability to track and understand agency program functions.
  • Ability to work well with clients regardless of position and authority, contribute to governing boards and committees, and adhere to clear lines of responsibility and accountability
  • Ability and motivation to develop creative solutions to complex, interpersonal, process, and systemic challenges
  • Excellent judgment and decision-making skills, makes decisions in accordance with upper management’s values and goals, perceives items and issues that are of great importance and initiates action proactively and within appropriate boundaries
  • Ability to adapt work behavior and methods in response to new information, changing conditions, or unexpected obstacles

Conditions of Employment
The successful candidate in this position will: be willing to submit to and able to successfully pass a criminal background check; possess and maintain a valid driver’s license and be able to travel as needed in the Denver Metro Area, with occasional travel outside the state.
